# Award pools

> From FilmScorecard Help: https://www.filmscorecard.com/help/award-pools

One award's entrants for one season, in a table: who is in the running, how each
of them got there, and what result each has been given. This is the screen you
work from between "this award exists" and "this film won it".

It is a **working screen**: you can set a result on one entrant or on many at
once, add a submission to the pool by hand, remove one, and open any entrant's
record to read it. It is also where an award's decision can be made — setting
someone's result to Award Winner is the same act as naming them on the
[Awards](https://www.filmscorecard.com/help/awards.md) screen.

**A category award's pool is the category itself**, kept for you, so two of
those verbs are missing there — nothing is added or removed by hand — and the
rows carry positions instead of numbers. Everything else on this screen works
the same for both kinds. See [A category award's pool](#a-category-awards-pool).

**The same pool can be changed from the other end.** A submission's own panel
has an **Awards** tab listing every award with that film's standing in it, and
from there a film can be added to or removed from a non-category award's pool —
see [The Awards tab](https://www.filmscorecard.com/help/opening-a-submission.md#the-awards-tab). It is this pool
either way, and each shows the other's change.

## Finding the screen

There is no navigation row for a pool. You reach one from the
[Awards](https://www.filmscorecard.com/help/awards.md) screen: **Open pool** on any card, or **Open award pool**
in its three-dot menu. **Awards** stays highlighted in the left navigation the
whole time you are in a pool.

Its address is:

```
/org/<organization>/<festival>/<season>/awards/<award>
```

**Only the open submission is kept in the address.** Your search, the two
filters, the sort and how many rows you have loaded are working state that
resets when you leave the page. The one exception is the detail panel: open a
submission and the address says so, so a reload keeps it open.

An award id that is mistyped, that belongs to another organization, or that this
season does not run gives you an ordinary "page not found" — the same answer to
all three, so nothing can be learned by trying.

## Who can work here

Everyone in your organization who can open the season, with the same buttons.
Anyone else gets "page not found"; a logged-out visitor is sent to the log-in
screen.

## The pool keeps itself up to date

**The pool is read once and then held in your browser.** Everything that
narrows or reorders it — the search box, the Entered by and Result filters,
every column sort, the **Rows** picker and **Load more** — is worked out from
what is already loaded. Each one applies as you press it, and nothing reloads
the page.

**And the pool re-reads itself in the background**, so a screen you left open
after lunch is not a lunchtime's worth out of date:

- **Whenever you come back to the tab.** Switch to another window or another
application and back, and the pool re-reads itself as you return — a glance
away of a few seconds is too short to bother it.
- **About once a minute while the tab is in front of you.**
- **Never while the tab is behind something else.** A forgotten tab asks the
  festival's records for nothing.
- **Straight after anything you change here** — a result set, a submission
added, an entrant removed. Each of those waits for the server and then
re-reads the pool before it lets go: the rows dim while a result is written,
and a dialog stays put until the rows behind it already agree. A winner
named for this award on the [Awards](https://www.filmscorecard.com/help/awards.md) screen re-reads this pool
too, so its Result column is right the next time you open it, and so does a
film added or removed on a submission's **Awards** tab.

What arrives that way is what other people have been doing: a result a
colleague set, a film that has just entered the pool because a scorecard
recommending it was approved in the [Review Queue](https://www.filmscorecard.com/help/review-queue.md), an
entrant somebody removed, an entrant whose submission has been withdrawn from
the season — its title turns to plain text — a submission a colleague entered
in the category, on a category award — each within a minute, in place, under
whatever search, filters and sort you are working in. The five stat cards,
the filter counts and the footer line all move with it.

**And what you change here reaches each entrant's own Awards tab** the next
time that tab is looked at, with nothing to reload.

**A refresh never moves you.** Your scroll position, your search, your filters,
your sort, how many rows you have loaded, the rows you have ticked and an open
panel all survive it. **A refresh does prune your ticks**: an entrant a
colleague removed while you had it ticked leaves your selection and the count
on the bulk bar with the re-read, so a **Set result** or **Remove from pool**
acts only on rows still in the pool.

### When the pool cannot refresh

A refresh that fails is retried a few times before anything is said. If all of
those fail, one message appears at the bottom of the screen:

> Couldn't refresh the list. Showing what was last loaded.

**The rows stay exactly where they are.** Nothing is emptied, nothing is greyed
out and nothing you were doing is lost — what you are reading is simply the last
version that arrived, and the next refresh that works replaces it. When that
refresh lands the message goes away on its own, because it has stopped being
true; you can also clear it sooner with **Dismiss**. Search, filters, sorts and
paging keep working over what was last loaded.

**If your session has ended**, this is where you find out: you signed out in
another tab, or somebody removed your access to this festival while you had the
pool open — or the award was taken off the season under you. The screen does
not leave you on rows you can no longer act on: it sends you to the log-in
screen, or to an ordinary "page not found".

## The header

Under the breadcrumb (**Awards** / the award's name) sits the award's name as
the title, then three facts:

- **`AWD-2004`** — the award's permanent short id. A category award has none,
and the words **Category award** stand there instead.
- **2024 Season**.
- **Eligible: 9 submission categories** — how many of your submission categories
may enter this award. **Archived categories are not counted**, so this pill
can be lower than the number the library shows; the same active list decides
what the Add dialog will offer you. A category award has no pill: its pool
  is one category, its own.

**Award settings**, top right, opens the award's page in your organization's
library — its name, description and eligible categories. Organization owners can
edit it there; everyone else sees the same page read-only. See
[Award categories](https://www.filmscorecard.com/help/award-categories.md#the-awards-own-page). A category award
has no library page and no button; its name is edited on the
[Categories tab of Settings](https://www.filmscorecard.com/help/season-categories-and-awards.md#categories).

## A category award's pool

Every submission category that holds a submission is also an award — see
[Two kinds of award](https://www.filmscorecard.com/help/awards.md#two-kinds-of-award) — and its pool is **the
submissions entered in that category**, kept in step for you:

- **A submission joins the pool when it is entered in the category** — by
import, by **Edit categories** on the Submissions screen, or by a move from
another season — and **leaves it when it is taken out of the category**. It
arrives Undecided, entered by "Entered this category".
- **There is no + Add submission and no Remove from pool**, in the toolbar, in
the row menu or on the bulk bar — and none on a submission's Awards tab
either. They are absent rather than greyed, because they never become
possible here: to change who is in this pool, change which categories the
  submission competes in — see
  [Editing a submission's categories](https://www.filmscorecard.com/help/submissions.md#editing-a-submissions-categories).
- **Results, winners, mentions and the bulk bar work exactly as on any other
award.** Setting a result here is a decision *about* an entrant, not an edit
to who is in the running.
- **The row number is the entrant's position in the category** — see
  [Reading a row](#reading-a-row).
- **A moved submission loses its results.** Moving a film to another season
takes it out of this category, which takes its row — and any tier, win or
mention on it — with it; in the season it goes to, it starts Undecided in
its new category's pool. A withdrawn submission keeps its
row here, as on any pool, and drops out of the positions.

**Only the arithmetic of positions is automatic.** Who wins the category is
named by hand, exactly as on any other award — the pool opens sorted by score so
the decision is easy to read, and nothing on it is made for you.

## What makes a submission eligible

A submission competes in every category it is attached to, and **it is eligible
for a library award when any one of those categories is eligible for that
award**. A film in Drama Film and Experimental Film can enter an award that
accepts either of them, or both.

**It still enters once.** However many of its categories qualify it, it is
offered once in the Add dialog and it holds one row in the pool. There is no way
to enter the same submission twice for one award.

The other direction matters too: **removing a category from a submission can
take away the thing that made it eligible.** If it is already in the pool it
stays there — a pool is a curated list, not a live query — but it stops being
offered for that award again. See
[Editing a submission's categories](https://www.filmscorecard.com/help/submissions.md#editing-a-submissions-categories).

A category award asks a simpler question: a submission is in its pool exactly
while it is entered in that category.

## The five numbers along the top

| Card | What it counts |
| --- | --- |
| **In the pool** | Every entrant. "Submissions eligible for this award." |
| **Paid add-on** | Entrants who entered by buying the add-on. "Collected with the paid add-on." |
| **Judge recommended** | Entrants a judge put forward. "Free, from creative scorecards." |
| **Director added** | Entrants a director put in by hand. "Complimentary, added by a director." |
| **Decided** | Every entrant holding a standing — any result but Undecided and Not Selected — with "1 winner, 5 finalists. 24 still open." underneath — "still open" being the entrants still Undecided. |

On a library award the three route counts add up to the pool, because every
entrant got in exactly one of those three ways. **On a category award all three
read zero**, because its entrants got in a fourth way — by being entered in the
category — and only **In the pool** and **Decided** carry a figure.

**Judge-recommended entrants arrive on their own.** When a creative scorecard
recommends a film for this award and that scorecard is **approved** in the
[Review Queue](https://www.filmscorecard.com/help/review-queue.md), the film joins this pool automatically as a
judge recommendation. A film already in the pool by any route stays exactly as
it was — nothing is duplicated and nobody's route is rewritten. A
recommendation a coordinator withdrew before approving never arrives. **One
creative scorecard can recommend a film for at most three awards.**

**A coordinator can add a recommendation to a judge's scorecard, or point one
at a different award**, in the scorecard's panel on the Review Queue — see
[The award recommendations](https://www.filmscorecard.com/help/editing-a-filed-scorecard.md#the-award-recommendations).
It counts toward the three and enters the pool the same way, still as a judge
recommendation — but it never passes for the judge's own: the row carries
**Added by coordinator** or **Changed by coordinator** under its route.

**A scorecard your own staff filled in enters its recommendations the same
way**, and it does so as soon as it is filed, because filing one also approves
it — see
[Filling out a scorecard yourself](https://www.filmscorecard.com/help/filling-out-a-scorecard.md). It is
recorded as a judge recommendation like any other; the route pill does not
distinguish them.

**Two things that happen after approval**, now that an approved scorecard can
still be edited:

- **Withdrawing a recommendation from an approved scorecard does not take the
film out of this pool.** One entry serves however many scorecards recommended
the film, so dropping it on one withdrawal would remove a place another
recommendation still earns. [Remove it](#removing-an-entrant) deliberately if
  that is what you mean.
- **Restoring one on an approved scorecard puts the film in**, if it was not
already an entrant — and so does **adding one, or pointing one at this
award**. Pointing a recommendation at a different award does not take the
film out of the old award's pool.

**Nobody recommends a film for a category award.** The awards a judge can tick
on a creative scorecard are the season's library awards; a category's pool
needs no recommending, and its Judge recs column counts nothing.

**No money appears anywhere on this screen.** "Paid add-on" is a record of *how*
an entrant reached the pool, not a receipt: FilmScorecard quotes no amounts here, and
nothing on this screen charges or refunds anybody. Nor can you create a paid
entry — see [Adding a submission to the pool](#adding-a-submission-to-the-pool).

## Reading a row

- **The number at the left.** On a library award it is simply the row's place
in the list as sorted. **On a category award it is the entrant's position in
the category** — the same competition position the card's TOP SCORES block
and the submitter's own scorecard show. Ties share a position and the next
one skips (`1`, `1`, `3`); an entrant with no score in the category yet —
nothing approved that counts toward it — or one that has been withdrawn, has
no position and shows a dash. The position does not follow the sort — sort
by title and the numbers go out of order, which is how you can tell them
  from row numbers.
- **Submission** — the title, which is a button that opens the detail panel,
over its **categories** in monospace and the submitter's name. Each of those
is left out when the record does not have it.

A submission in more than one category is written the same short way the
Submissions list writes it: **the first category alphabetically, then `+2`**
for however many others — `Drama Film +1`. All of them are named in full in
the detail panel's header. **This line names every category the submission
competes in**, not only the ones that made it eligible for this award.
- **Entered by** — Paid add-on, Judge recommendation, Director added or, on a
category award, **Entered this category**, as a plain grey pill. All four
look alike on purpose: how an entrant got in is a recorded fact, not a
standing. **Under it, "Added by coordinator" or "Changed by coordinator"**
when a recommendation behind this entrant on an approved scorecard was added,
or pointed at this award, by a coordinator rather than the judge.
- **Judge recs** — how many **approved** creative scorecards recommend this
entrant for this award. Zero, drawn muted, until a recommending scorecard is
  approved. See
  [About scores and judge recommendations](#about-scores-and-judge-recommendations).
- **Score** — the points the submission has banked so far, out of 100, or
**"No scores"** until an approved scorecard counts toward it — and for good
on a category whose every section the season weights zero. On a category
award it is the film's score **in this category**; on a library award it is
the film's best category, the figure the Submissions list shows.
- **Result** — one of eight: Undecided, Selected, Quarter-Finalist,
Semi-Finalist, Finalist, Nominee, Award Winner or Not Selected, each with a
dot. Undecided is grey, Selected is neutral with an indigo dot, the four
rungs from Quarter-Finalist to Nominee are indigo and told apart by their
words, Award Winner is green and Not Selected is amber.
- **The three-dot menu** at the end of the row — see [The row menu](#the-row-menu).

Hovering a row turns its row number — or its position — into a checkbox; the
whole cell is the click target. On a phone or a narrow window the checkboxes are
simply always there, the two filters collapse into one **Filters** button, and
the table scrolls sideways rather than restacking — the headings stay along the
top and the Submission cell stays at the left.

## The row menu

The three-dot menu opens with the entrant's title and its categories underneath
— the same `Drama Film +1` short form as the row — so you can be sure which row
you are acting on. It has two panes:

**The first pane**

- **View submission** — the same as clicking the title. It is absent for a
withdrawn entrant, which has no record left to open.
- **View 2 judge recommendations** — only once the entrant has any. It opens
the same submission record as View submission; the recommendations
themselves — which judge, and their reason — are read on the scorecards in
  the [Review Queue](https://www.filmscorecard.com/help/review-queue.md).
- **Set result** — opens the second pane.
- **Remove from pool**, in amber at the bottom, with a quiet line that depends
on how the entrant got in. It always opens a confirmation; see
[Removing an entrant](#removing-an-entrant). **It is not on a category
  award's menu at all.**

**The second pane** lists the eight results with a dot each and a tick beside
the entrant's current one, then a **Back** row. Picking one applies it immediately.

Near the bottom of a long table the menu opens upward, so it is never off the
edge of the screen.

## A withdrawn entrant keeps its place

**Withdrawing a submission from the season does not take it out of an award
pool.** Its row stays, with the title, categories and submitter it had, and it
goes on counting in every stat card, filter count and footer number on this
screen.

What changes is that there is no longer a record to open: **the title is plain
text rather than a button, and its row menu has no View submission.** Everything
else about the row still works — you can set its result and, on a library
award, you can remove it from the pool. On a category award it also loses its
position, and no longer counts toward the category's entry count on the Awards
screen or holds up the category's rank.

This is the opposite rule from the
[Submissions](https://www.filmscorecard.com/help/submissions.md#what-is-on-the-list-and-what-is-not) screen, where
a withdrawn submission vanishes from every count. It is deliberate: an award pool
is a record of who was in the running, and quietly dropping an entrant would
change a decision after the fact. If you do not want a withdrawn film in the
pool, [remove it](#removing-an-entrant) on purpose.

## Opening a submission

Clicking a title, or **View submission** in the row menu, slides in the same
detail panel the Submissions screen uses — **in read mode**.

**The panel opens on the click.** The frame, its width and the entrant's title
are on screen in the same moment you press; the record itself — the type, the
length, the category pills and everything on the six tabs — arrives just
behind, and until it does the body shows placeholder bars. **Reopening an
entrant you have already looked at this sitting is instant**: the record is
still in your browser, and if it has been sitting there a while it is quietly
re-read behind what you are already reading.

- **Six tabs**: Display, Information, Scoring, Awards, Settings and Audit — the
same six as on the Submissions screen. **The Settings tab holds only the
submission's two addresses** — Submission link and Scorecard link, each with
its Copy link button — and none of the cards that act on a submission.
- **Nothing is editable.** Every field on the Information tab is greyed out,
there is no **Save changes** button, no flag, no screener-link field, no Edit
categories, no Release scorecard, no scorecard access, no move and no
  withdraw.
- **The Awards tab lists the pools the film is in**, and only reads here: no
**Add to an award** and no **Remove**. Open the same submission from
[Submissions](https://www.filmscorecard.com/help/submissions.md) to add it to or take it out of a pool from
that side. See [The Awards tab](https://www.filmscorecard.com/help/opening-a-submission.md#the-awards-tab).
- **The Audit tab is the submission's whole history** — how it arrived, every
edit to its record, its judging, its status, the emails sent about it and
what its filmmaker has done with their scorecard — one sentence to an entry,
newest first, with its **Type** and **Who** filters, its search box and
**Load more**. It is the same tab the Submissions screen shows, and it loads
with the panel, so its label carries the count — **Audit 19** — as the panel
draws. Entries about money appear only for people with the *View revenue and
payouts* permission, here as there, and an organization owner or org admin
still gets the **Open order** button on an unlock or a refund, which leaves
  the pool for
[Orders](https://www.filmscorecard.com/help/orders.md). The one thing missing is the **See what changed**
button on the Information tab's "Edited by the submitter" line, because the
tab is a click away in the strip. See
  [The Audit tab](https://www.filmscorecard.com/help/opening-a-submission.md#the-audit-tab).
- **It keeps up while it stands open.** The record is re-read on the same
rhythm as the pool — about once a minute while the tab is in front of you,
and whenever you come back to it — so a scorecard a colleague approves while
you are reading appears on the Scoring tab without your closing anything.
- Everything else behaves as it does elsewhere: Escape or the darkened
background closes it, the address keeps it open across a reload, the
browser's Back button does not close it, and you can drag its left edge to
  resize.

The Scoring tab here shows the same thing it shows everywhere: **one section per
category the submission competes in**, each scored out of 100 and each stating
the split it was scored on — see
[The Scoring tab](https://www.filmscorecard.com/help/opening-a-submission.md#the-scoring-tab). It is also where
you see how much of a film's judging is actually done, which the Score column
alone does not tell you.

A pool is a place to look a submission up, not the place to edit its record. To
change anything about it, open it from
[Submissions](https://www.filmscorecard.com/help/submissions.md) instead — everything the panel can do is
described in [Opening a submission](https://www.filmscorecard.com/help/opening-a-submission.md).

### When the record cannot be shown

**"This submission is no longer in this pool."** Either the submission was
withdrawn from the season while you had its panel open — the pool re-reads
itself as it happens, and the row stays on the list with its title in plain
text (see [A withdrawn entrant keeps its place](#a-withdrawn-entrant-keeps-its-place))
— or a colleague removed it from this pool, and its row has gone. Either way
the panel stays where you are looking, with that line, until you close it.

**"This submission could not be loaded."**, with a **Try again** button under
it. The record simply could not be fetched — a connection that dropped, or a
moment the server could not answer. Nothing is wrong with the submission
itself: press **Try again** and it loads.

## Searching, filtering and sorting

The toolbar above the table:

- **The search box** matches the **title or the submitter's name**, and nothing
else — **not the category line**. Its placeholder counts the pool: "Search 34
entrants". It filters as you type; Escape clears it.
- **Entered by** — Director added, Entered this category, Judge recommendation,
Paid add-on, listed alphabetically, tick as many as you like. All four are
always offered, with their counts; on a library award "Entered this category"
counts zero, and on a category award the other three do.
- **Result** — Undecided, Selected, Quarter-Finalist, Semi-Finalist,
Finalist, Nominee, Award Winner, Not Selected, listed in that order because
that is the order the work happens in.
- **Clear filters** appears as soon as anything is set.

A row matches if it fits **any** of the options ticked inside one filter, and it
must satisfy **all** of the filters together. Both filters have a select-all row
and mono counts beside each option, and **those counts are measured over the
whole pool, never cross-filtered** — they tell you what you would get if you
picked them.

**Changing the search or either filter clears any rows you had ticked** and
takes you back to the first page of results.

### Sorting

**All five column headings are sort buttons**: Submission, Entered by, Judge
recs, Score and Result. Click once to sort by a column, click again to reverse
it; the active heading carries a caret. **Title breaks every tie, always A to
Z.**

Three things about the order worth knowing:

- **The list arrives sorted by Score, high to low** — the pool opens on its
best entrants, and on a category award that is position order, `1` at the
top. Unscored entrants trail. In a pool where nothing has been approved yet,
every row ties and what you actually see is the pool in alphabetical order.
- **Judge recs and Score open high to low when you first click them**;
Submission opens A to Z, and Entered by and Result open in their own declared
order. A second click reverses whichever you are on.
- **An unscored entrant sorts below a zero score.** Sort by Score ascending and
the unscored rows lead; descending and they trail.
- **Sorting by Score sorts on points banked**, so a film every judge has scored
outranks one that is still being judged, whatever its judges thought of it.
Decide an award from a pool whose films have been fully judged, and read a
mid-season Score order as "furthest along" rather than "best". On a category
award the positions carry the same caveat, which is why its rank cannot be
released until every film in it is fully judged — see
  [Releasing a category's rank](https://www.filmscorecard.com/help/awards.md#releasing-a-categorys-rank).

Entered by and Result sort in their own declared order rather than
alphabetically, so Result runs Undecided → Selected → Quarter-Finalist →
Semi-Finalist → Finalist → Nominee → Award Winner → Not Selected.

## How many rows you see

The footer holds a **Rows** picker — 25, 50 or 100, starting at 50 — and
**FilmScorecard remembers your choice in this browser** for every pool you open
afterwards. It is remembered separately from the Submissions screen's setting.

**Load 50 more** brings in the next batch at once — the rows are already in
your browser — while more matching rows remain; the button always names your
rows-per-page setting rather than the number actually left.

The footer line takes one of two shapes:

- Nothing narrowing: "Showing 50 of 132 entrants. Sorted by score."
- Something narrowing: "Showing 12 filtered entrants of 132." — which counts
everything your filters match, whether or not it is loaded yet, and drops the
  sort clause.

## Setting a result

Two ways, and both apply **immediately, with no confirmation**. A result is one
column and it is reversible from the same control, so a dialog would only be
ceremony.

- **One entrant**: its [row menu](#the-row-menu) → **Set result** → pick one of
  the eight.
- **Several at once**: tick the rows and use **Set result** in the bar at the
bottom. It applies to the whole selection and then clears it.

The rows dim, and the row menus and the bar wait, for the moment it takes the
server to answer and the pool to be re-read — so when they come back the Result
column already agrees.

**Award Winner is a real choice in both places**, and it is exactly the same act as
naming a winner on the [Awards](https://www.filmscorecard.com/help/awards.md) card:

- It stamps the award as decided if it was not already.
- **It promotes an honorable mention.** An entrant that held a mention loses it
on becoming a winner — an entrant is never both.
- **Moving the last winner to anything else returns the award to undecided**,
and clears the decided date with it.

If a result cannot be saved, a message appears at the bottom of the screen and
nothing changes.

## Selecting rows and the bulk bar

Tick any row and a bar appears at the bottom of the screen reading "6 entrants
selected", with **Clear selection**, an amber **Remove from pool**, and
**Set result**, whose list opens upward. On a category award the bar has no
**Remove from pool**.

- **The checkbox in the heading row selects every row currently loaded.** Once
anything is selected it shows a dash; pressing it again clears the selection.
- **Sorting and changing the Rows setting keep your selection.** A selected row
that is no longer on screen is still selected, and the bar's count is the
truth — check it before you act.
- **Changing the search or either filter clears the selection**, deliberately: a
bulk action against rows nobody can see any more is the one way this screen
could act on entrants you did not mean.
- **A background refresh keeps the selection too**, including a tick on an
entrant a colleague has since removed — see
[The pool keeps itself up to date](#the-pool-keeps-itself-up-to-date).

## Adding a submission to the pool

**+ Add submission** in the toolbar opens a dialog headed with the award and
season. It is a library award's button; a category award's toolbar has none —
see [A category award's pool](#a-category-awards-pool).

1. **Submission** — search by title or submitter, then pick one row. The list
offers **the season's submissions that compete in at least one of this
award's active eligible categories and are not already in the pool**,
alphabetically. Withdrawn submissions are not offered. The helper under the
box says how narrow that is: "Only submissions in the 9 eligible categories
   can be added."
2. **How it enters** — two cards, and only two:
   - **Director added** — "No charge, recorded as a director decision."
   - **Complimentary** — "No charge, the add-on is waived for this entrant."
3. **Note for the record** — up to 280 characters, optional. "Kept on this pool
entry with your name and the date. Not shown to judges."
4. **Add to pool**. The dialog stays put until the pool has been re-read, so
when it closes the new row is already in the table.

**The same two cards and the same note are on a submission's Awards tab**,
where **Add to an award** opens them with the film already chosen and the
award to pick — see
[The Awards tab](https://www.filmscorecard.com/help/opening-a-submission.md#the-awards-tab).

Two details about the list of submissions, both worth knowing before you go
hunting for a film that seems to be missing:

- **Each submission appears once**, even when two of its categories are eligible
  for this award.
- **The category line under a title names only the categories that made it
eligible for this award** — the reason it is on offer. A film in Drama Film,
Experimental Film and Student Film may read `Drama Film` here and
`Drama Film +2` in the pool a moment after you add it. Both are true; they
  answer different questions.
- **The search box matches the title and the submitter's name only.** Typing a
  category name here finds nothing.

Three things to know before you use it:

- **You cannot create a paid entry here.** There is no third card, and no way to
record that somebody paid. Paid add-ons arrive with the payments release; this
dialog can only ever record a decision somebody made for free.
- **The entrant arrives Undecided.** Give it a result afterwards, from the
  row menu.
- **The note is stored but nothing shows it back to you yet** — not this
screen, and not the submission's Audit tab, which lists nothing about award
pools. Write it for the record it will one day be part of,
not as a message to a colleague.

If nothing can be offered you get one of two sentences instead of an empty list:
"No submission in this season is eligible for this award and still out of the
pool.", or `No submission matches "vega".` for a search. An award with no active
eligible categories can take no new entrants at all.

The dialog stays open if the add is refused, with the reason under the
submission field:

| The message | What it means |
| --- | --- |
| "That submission is not in one of this award's eligible categories." | None of its categories is eligible for this award — or the one that was has been archived, or removed from the submission, while your dialog was open. Eligibility is edited in the library — see [Award categories](https://www.filmscorecard.com/help/award-categories.md). |
| "That submission is already in this pool." | Somebody added it while your dialog was open, or you added it a moment ago — or a scorecard recommending it was approved in the meantime, which enters it the same way. |

## Removing an entrant

**Remove from pool** — from a row's menu, or from the bulk bar — **always
confirms first**. It exists on library awards only; a category award's entrants
leave when they leave the category. In the row menu it carries a quiet line that
depends on how the entrant got in:

- Paid add-on: "The paid add-on is not refunded automatically."
- Judge recommendation: "The judge recommendation stays on the scorecard."
- Director added: no line, because neither sentence would be true of it.

The confirmation names the entrant and the award — "Remove *Solstice* from Best
Original Music?", or "Remove 4 entrants from Best Original Music?" — and states
the consequence:

> It leaves the pool for the 2024 season. Nothing was charged, and any judge
> recommendation stays on the scorecard.

For a paid entrant it reads instead: "It leaves the pool for the 2024 season. The
paid add-on is not refunded automatically; refund it on the submission first if
that is the intent." For several at once: "They leave the pool for this season.
Paid add-ons are not refunded automatically; refund them on the submission before
removing."

**A submission's Awards tab has the same Remove**, with the same confirmation,
for one film at a time.

**Removing deletes the pool row.** There is no removed state to filter back and
no way to undo it from this screen — you would add the submission again, and it
would come back as a director-added entrant. What it does *not* touch is the
submission itself: it stays in the season, in every one of its categories, with
its selection status, exactly as it was.

**One thing can put a removed entrant back on its own**: restoring a withdrawn
recommendation on an approved scorecard, which re-enters the film as a judge
recommendation. If you meant it gone, take the recommendation down first.

**Removing the last winner returns the award to undecided**, the same as
demoting it would. If the entrant you removed was open in the detail panel, the
panel closes with it. The dialog stays put until the pool has been re-read, so
when it closes the row has already gone.

**No refund is made by FilmScorecard, ever, from this screen.** The sentences above
are instructions to you, not a description of something the platform did.

## When the pool is empty

Two different empty states, because they need two different answers:

- **Nothing in the pool at all** — "No entrants in this pool yet", with no
footer under it. **+ Add submission** in the toolbar is the way in. On a
category award you will only meet this by reaching the pool's address
directly, since a category with nothing in it has no card on the Awards
screen; the way in there is to enter a submission in the category.
- **Nothing matches your filters** — "No entrants match this filter", with
either `Nothing matches "vega" in this pool.` or "No entrant in this pool is in
one of the states you picked.", and a **Clear filters** button.

## About scores and judge recommendations

Under the table sits one line:

> Score is the submission's weighted score, the same figure the Submissions list
> shows. A recommendation carries no score of its own.

**Weighted** is exact: every score on this screen is out of 100, made up of the
creative, technical and press-kit sections in the proportions the season sets —
see [Section weights](https://www.filmscorecard.com/help/festival-settings.md#section-weights). **Which
category's figure it is depends on the award.** On a library award, whose pool
can span categories, it is the same figure in the strict sense the line says:
for a submission in more than one category, **the score of whichever category
has banked the most**, not a total across them — see
[Which category's score a row shows](https://www.filmscorecard.com/help/submissions.md#which-categorys-score-a-row-shows).
**On a category award it is the film's score in this category**, because the
standings are within it — so a film in two categories can read one figure on
one category's pool and another on the other's, and both are right.

**It is what has been earned so far, not a forecast of a finished score.** Each
judge on a film's panel banks a share of the creative section, so a film waiting
on two of three judges shows a fraction of what it will end on — a real number,
and a low one. The Score column is not a quality ranking until the films in it
have been fully judged, which is worth remembering on the one screen where an
award is decided. **Its colour still reads as quality** — how well the approved
work was marked — which is why a low figure can be green; see
[The number and the colour answer different questions](https://www.filmscorecard.com/help/submissions.md#the-number-and-the-colour-answer-different-questions).

**Both columns count released work only.** A scorecard a judge has filed but
nobody has approved contributes nothing here — approval in the
[Review Queue](https://www.filmscorecard.com/help/review-queue.md) is what releases it. Concretely:

- **The Score column reads "No scores"** — never a 0, never a dash — until an
approved scorecard counts toward the submission's shown category. That can be
any scorecard that awards points — a judge's creative scorecard, the
technical review or the press-kit card — so a film whose technical review is
approved before any judge has filed already has a score here, and a place.
- **The Judge recs column counts approved creative scorecards recommending
this entrant for this award** — a colleague's own filing among them, and a
recommendation a coordinator added to a judge's scorecard. A recommendation
on a scorecard still under review counts for nothing, and one a coordinator
withdrew never counts, before or after approval.
- **Sorting by either is only as interesting as your approvals** — rows with
nothing released tie, and tied rows fall into title order.

**The Judge recommended stat card at the top answers a different question.**
It counts the entrants whose route *into the pool* was a judge recommendation
— how they got in — while the column asks how many scorecards recommend them.
A film a director added by hand can still carry "2" in Judge recs once two
approving scorecards recommended it; its route stays Director added, because it
was already in.

## If something is refused

Nothing on this screen is optimistic. A change is written when you commit it and
the pool is re-read from the server before the control lets go; if it is
refused, nothing was saved and nothing on screen moved.

| The message | What it means |
| --- | --- |
| "One of those entrants is no longer in this pool. Refresh the page and try again." | Somebody removed an entrant in the moment between your last refresh and your commit. The pool catches up on its own within a minute and drops that row from your ticks; retry, or reload. |
| "That submission is not in one of this award's eligible categories." | Only in the Add dialog. |
| "That submission is already in this pool." | Only in the Add dialog. |
| "A category award's pool follows the category. Change which categories the submission is entered in instead." | An add or a remove was sent against a category award. Neither control is drawn on its pool, so this only arrives from a stale page or a hand-built request. |
| "You do not have permission to change this award." | Your account cannot change this season, or the address names something you cannot reach. |
| "Something in the form is not valid. Check the fields and try again." | The change was rejected before it reached the database. |
| "The change could not be saved. Try again." | Anything else. The next refresh shows where things stand. |
| "Couldn't refresh the list. Showing what was last loaded." | Nothing you did failed. The pool could not re-read itself, several tries running — what is on screen is as new as the last refresh that worked. See [When the pool cannot refresh](#when-the-pool-cannot-refresh). |
