Your organization's Overview
The Overview is your organization's home page: every festival with a season underway, the work waiting on your team, the dates coming up and what changed.
Nothing is released, approved, sent or paid from here. Every count is a link to the screen where that work is done, for that season. The page's only action is Mark all seen, which changes nothing but your own view of it.
Finding the screen
- Overview is the first row of the left navigation, directly under your organization's name, on every screen of your organization. Its amber count adds up the amber counts the festival switcher and the Festivals list show beside each festival — see What the amber number counts. Those counts are worked out differently from the Overview's own figures: they count kinds of problem, the Overview counts items, so a badge can read lower than the same festival's Needs attention figure on this page.
- On the Overview, the festival switcher in the top bar reads Overview.
- Its address is:
/org/<organization>/overview
When you land here
Signing in brings you here when you can open two or more festivals in your
organization. So do your organization's own address, /org/<organization>,
its row in your account menu, and accepting an invitation to it:
| You can open | Where you land |
|---|---|
| Two or more festivals | The Overview. |
| One festival | That festival's season dashboard — on its starred season, or its newest — exactly as before. The Overview row is still in your navigation. |
| None, or one with no season yet | Wherever you landed before the Overview existed. |
The count is yours, not your organization's. It is every festival your access reaches, with a season or without one. A coordinator given one festival of ten lands on that festival, and an owner who adds a second festival lands here from then on. See Where you land after logging in and Where a row takes you.
Who can open it
Every active member of your organization, whatever their role. What each person sees is narrowed to the festivals they can open and the work they could act on — see Who sees what.
Judges, filmmakers and anybody outside your organization get an ordinary "page not found". Signed out, the address sends you to the log-in screen. In an organization FilmScorecard has suspended, it shows the suspended notice — see When your organization is suspended.
Which festivals are on the page
A festival is on the Overview through its seasons underway: every season that is not Completed or Archived, whether it is still being set up or being judged. A festival whose seasons are all completed or archived is not on the page, not in the Festivals control, and not counted anywhere.
Each season underway is its own row. A festival running two at once has two rows in the table, and a line for each season in Work waiting, named with the season: "Riverside Shorts Festival, Spring 2026".
With no season underway anywhere, the header reads "No festivals with a season underway." and has no Festivals control, Work waiting reads Nothing waiting (or shows only Mailing address missing), both cards on the right read their empty lines, and the table reads No festivals yet — with an Add festival button for owners and org admins only.
The header
The title, then two sentences about the festivals in view:
- "10 festivals with a 2026 season underway." — or "10 festivals with a season underway." when the seasons in view are in different years, or "3 of 10 festivals in view." when you have narrowed the page with the Festivals control.
- "11 items need attention across 6 festivals, and 2 are behind schedule." — or "Nothing needs attention." The second half is left off when nothing is behind schedule.
An item is one thing in a Needs attention row, counted in that row's own unit: three categories short of judges is three items, and twelve invites about to expire are twelve. "Across 6 festivals" and "2 are behind schedule" count festivals; a festival with two seasons behind is one. See A festival's Needs attention and Waiting counts.
Under them:
- "Figures as of Fri, Aug 21, 2026 at 9:40 AM." — the moment the page read its figures. The page never updates itself; reload to bring it up to the minute. The amber counts in the navigation refresh on their own about every 30 seconds, so they can run ahead of an Overview left open.
- The changed-since line and Mark all seen, only when a count has changed since you last marked the page seen — see Changed counts and Mark all seen.
The Festivals control
The button on the right of the header reads Festivals All 10, or Festivals 3 of 10 once you have narrowed the page. It opens a list headed Show festivals: every festival on the page, A to Z, each with its Needs attention count under Attention.
- Tick festivals to narrow the whole page to them, at once: the header, Work waiting, Next two weeks, Updates and the table. With nothing ticked, the page shows every festival.
- The search box narrows the list. With no match it says so — "No festival matches “riv”." — with Clear search.
- Select all ticks every festival the search is showing, or unticks them when they are all ticked already. Beside it, "3 selected".
- Clear, there while you have narrowed the page, goes back to every festival.
- Escape clears a search first, and closes the list on a second press.
Show only this festival, in a table row's menu, narrows the page to that one festival in one press.
Work waiting
The card at the top of the left-hand column is every kind of open work across the festivals in view, one row per kind, added up across festivals. Its head reads Work waiting, then "9 kinds of work, all 10 festivals", then Expand all (or Collapse all once every row is open). Its foot reads "Summed across all 10 festivals. Expand a row to see each festival and open the screen that owns the work."
Reading a row
- The label, and on the right one number: the row's total across the festivals in view, in the row's own unit — 41 scorecards read 41, two paused FilmFreeway syncs read 2. On Needs attention rows the number is amber.
- Under the label, while the row is closed, which festivals it comes from: "4 festivals: Riverside Shorts (41), Cedar Bluff (18), Northgate (5) and 1 more" — the three with the most, ties A to Z. A single festival is named alone, with no number. Names drop a trailing "Festival" or "Film Festival" here. The two rows that count festivals or seasons rather than things — a paused FilmFreeway sync, and judging that hasn't opened — list names only: "Harbour Lantern and Saltmarsh". Opening the row hides this line; the festival lines below it name them instead.
- Press the row to open it. One line per festival (per season, when a festival has two), most first: its initials, its name, a line of detail — most lead with the festival's count, "3 requests, the oldest received Aug 10." — and a link. The line has no number of its own beside it. Each link opens that season, on the right tab. Most are named for the screen they open — Settings →, Judges →, Review Queue →, Payouts →, Submissions → or Dashboard →. Three name the job instead: Fix in Settings → on a paused FilmFreeway sync, Match in Settings → on FilmFreeway categories to match, and Add judges → on Categories without enough judges.
The rows sit in four groups, by who has to act, each heading with the number of its rows that hold work and a line saying what it is for. A group with nothing in it is left out, and so is a row with nothing in it — there are no zeros on this card. Only Needs attention is amber.
Mailing address missing
Owners and org admins of an organization with no mailing address see one more line at the top of Needs attention, before any of its rows: Mailing address missing, "Promo code and scorecard offer emails can't be sent until you add one. A PO box works.", and Add in Settings →, which opens Organization settings on its Organization profile tab.
- It belongs to the organization, not a festival, so it has no number and nothing to open, and narrowing the page with the Festivals control never hides it.
- It counts as one kind of work in the card's head, and in the Needs attention group's number. It is not counted in the header's sentence, the Festivals control or the table.
- It never carries an indigo dot.
- It goes once an address is saved and the page is reloaded.
The fourteen kinds of work
| Group | Row | What it counts | Each festival's line reads | Opens |
|---|---|---|---|---|
| Needs attention — "Work is stopped or about to lapse" | FilmFreeway sync paused | Festivals whose FilmFreeway sync into this season has paused. | The reason and the day — "The key no longer shares contact details on Aug 20. New entries have stopped." | Settings → FilmFreeway |
| Needs attention | FilmFreeway categories to match | FilmFreeway categories on the FilmFreeway tab not yet matched to one of this season's categories. | "3 FilmFreeway categories aren't matched to yours yet. 41 films are waiting on them." — the second sentence only when the last sync held films back. | Settings → FilmFreeway |
| Needs attention | Judge invites about to expire | Unanswered invitations that lapse today or in the next three days, by the season's calendar. | "2 invites, the first expires Mon, Aug 24." — or "1 invite expires Mon, Aug 24." | Judges → Invites sent |
| Needs attention | Categories without enough judges | Categories with fewer eligible judges than the season's Judges per category — counted only while judging is open, or opens within 14 days. | Up to three of the shortfall lines the season's dashboard shows — "Drama needs 2 more judges", "Documentary needs 1 more judge (1 invited)", "No technical judge yet, so creative judging is on hold" — then "and 2 more". See Two warnings about judging. | Judges → Roster |
| Needs attention | Judging hasn't opened | Seasons whose judging opening date has passed while nobody has pressed Open judging. | "Judging was due to open Aug 1." | The season's dashboard, where Open judging is — see Opening judging |
| Ready to release — "Judged and ready to go out" | Scorecards ready to release | The figure on the dashboard's ready-to-release card: fully judged films not yet released, on a season that has been opened and has not released its scorecards as a whole. | "41 scorecards fully judged, not released yet." | The season's dashboard — see Needs attention |
| Ready to release | Release emails not sent | Films released one at a time without an email, on a season set to Only when I release them or As each submission is approved, which has not yet released its scorecards as a whole. | "13 released without an email. They go out when the season is released." | Settings → Results |
| Waiting on you — "Decisions only your team can make" | Judge requests to decide | Applications to this season's open calls awaiting a decision: New, Shortlisted, and countered ones the judge has answered. | "3 requests, the oldest received Aug 10." | Judges → Requests |
| Waiting on you | Judges asking to leave | Judges on the season who have asked to leave it. | "2 judges, the first asked Aug 12." | Judges → Roster — see When a judge pauses or asks to leave |
| Waiting on you | Judge invoices to accept or pay | Invoices judges have sent that are waiting for you to accept them, or accepted and not yet paid. | "3 to accept, 2 to pay. Earliest due Aug 28." — the due date only when an open invoice has one. | Payouts → Invoices |
| Waiting on you | Entries without a category | Submissions, withdrawn and disqualified ones aside, that compete in no category. | "12 entries, the newest arrived Aug 20." | Submissions, narrowed to the films with no category |
| Waiting on you | Scorecards to approve | Filed scorecards nobody has approved or returned yet, flagged ones included. | "4 scorecards, the oldest filed Aug 11." | Review Queue → Pending |
| Waiting on you | Films skipped for technical issues | The Review Queue's Issue tab: films skipped as Screener will not play or Other, and problems judges reported while scoring, not yet settled. | "2 issues, the first reported Aug 18." | Review Queue → Issue |
| Waiting on judges — "Answers you are owed" | Judge invites not answered yet | Every unanswered invitation that has not lapsed — the ones about to expire included. | "5 invites, sent Aug 10 to Aug 19. 2 expire within 3 days." — the second sentence only when some are about to expire. | Judges → Invites sent |
The five FilmFreeway reasons, as the paused line words them:
- "FilmFreeway stopped accepting the key"
- "The key no longer shares contact details"
- "FilmFreeway moved to a new season"
- "FilmFreeway stopped returning most submissions"
- "The linked season is closed"
Judge pay's money line
Under Judge invoices to accept or pay, a second line adds up what the open invoices ask for, by type of work: "Technical $1,014.00, creative $2,286.00", with ", press kit $120.00" on the end only when that figure is not zero. Each festival's line carries its own split.
The types are never added together, so there is no total: technical and creative pay are different rates for different work. An invoice line with no price adds nothing.
A festival's Needs attention and Waiting counts
A season's Needs attention count adds up everything in its five Needs attention rows, each in its row's own unit: 3 categories to match, 12 invites about to expire and a paused FilmFreeway sync make 16. A paused sync and judging that hasn't opened count 1 each. Its Waiting count adds up the other nine rows the same way — 41 scorecards ready to release add 41. An invite about to expire counts in both, because Judge invites not answered yet includes it. The Mailing address missing line is in neither.
The table shows both for each season. The header sentence and the Festivals control show the Needs attention count, added up over a festival's seasons.
The amber counts in the navigation are counted differently: they count how many of the five rows each season has open, not how much is in them, so 12 invites about to expire count as 1 there. A festival's badge can read lower than its Needs attention count on this page — see What the amber number counts.
When nothing is waiting
The card reads Nothing waiting and "The festivals in view have no open work. New work shows here as it arrives." While you have narrowed the page, a Show all festivals button sits under it. While the Mailing address missing line shows, the card is never empty.
Next two weeks
The upper card on the right lists the dates coming up across the festivals in view.
- A strip of fourteen days, from today, each with its weekday, its date and a dot counting what falls on it. The dot is amber when anything that day is at risk. Point at a day, or move to it with the keyboard, and it lists that day's items.
- Under it, the items day by day — "Tue, Aug 25" with "Today", "Tomorrow" or "in 4 days" beside it. Each item shows the festival's initials, what is happening, the festival's name and, sometimes, a note. The whole item is a link.
- Seven items show at first. Show all (12) shows the rest, and Show fewer puts them away.
- Later in the season, at the foot, lists the next four dates after the two weeks — date, what, and the festival — each a link. With nothing after the two weeks, the section is left out.
- Nothing in the two weeks reads "No dates in the next two weeks for the festivals in view."
Only dates you have already set appear. Nothing here is worked out or predicted:
| The item | Comes from | Opens |
|---|---|---|
| Intake closes, Judging opens, Judging closes, Notification date, Award winners announced, Event starts | The season's dates on Settings → Season — Intake closes is its Final submission deadline, Event starts the first of its Event dates. See Festival settings. | The season's dashboard |
| "1 judge invite expires", "2 judge invites expire" | Unanswered invitations, one line per season per day. Always amber. | Judges → Invites sent |
| Judge call closes, with the call's name as its note | An open call's applications close date | Judges → Requests |
| "3 judge pay invoices due" | Open invoices' due dates, one line per season per day | Payouts → Invoices |
| Each of your own dates, under the name you gave it | The Dates tab of your public festival page | The season's dashboard |
Two more things turn amber, with a note saying why:
- Judging closes on a season behind schedule because judges have not started — "5 of 18 judges not started".
- Judging opens on a season with categories short of eligible judges — "2 categories short of eligible judges".
If the dates cannot be read, this card alone says "Couldn't load dates." and the rest of the page is unaffected. Reload to try again.
Updates
The lower card on the right, headed Updates · Latest 8, is the eight most recent things that happened at the festivals in view, newest first, grouped under "Today", "Yesterday" or a date. Each shows its time, who in bold, what they did, and under it the festival and their role:
| The line | When it appears |
|---|---|
| "Ana Ruiz sent a request to Preliminary Shorts panel." — Judge | A judge applied to one of the season's open calls. |
| "Ana Ruiz accepted the judge invite." / "declined the judge invite." — Judge | A judge answered an invitation. |
| "Fay Lim imported 412 submissions." — their role | A CSV import finished. One rolled back later is left out. |
| "FilmScorecard added 37 submissions from FilmFreeway." — System | FilmFreeway syncs added films. One line per festival per day, adding up the day's syncs; a sync that added nothing is left out. |
| "FilmScorecard paused FilmFreeway sync: the key no longer shares contact details." — System | The festival's FilmFreeway sync is paused now. |
| "Ana Ruiz sent invoice INV-0007." — Judge | A judge sent an invoice. |
| "Fay Lim released 152 scorecards." — their role | Somebody released films one at a time. One line per person per season per day. When FilmScorecard released them by itself, the line reads "FilmScorecard released 12 scorecards." — System. |
| "Scorecards released for the whole 2026 season." | The season released its scorecards as a whole. |
- Entries newer than your seen mark carry a small indigo dot, and when the card holds both newer and older entries a divider sits between them: "Marked seen Wed, Aug 19, 10:05 AM". See Changed counts and Mark all seen.
- The entries are not links, and this is not the Inbox: messages from judges stay in your Inbox.
- Nothing to show reads "No updates for the festivals in view."
- If the updates cannot be read, this card alone says "Couldn't load updates."
The Festivals table
The table sits in the left-hand column, directly under Work waiting. One row per season underway in view. Its head reads Festivals with "2 behind schedule, 6 with items needing attention".
| Column | What it shows |
|---|---|
| Festival | Its initials, its name — a link to the season's dashboard — and under it the season, "Spring 2026". |
| Phase | Where the season is — see Phase. |
| Progress | What the phase is measured by, the figure — "288 of 736, 39%", rounded down — and a bar. See Progress. |
| Needs attention | The season's Needs attention count, amber above 0, a plain 0 otherwise. |
| Waiting | The season's Waiting count. |
| ⋯ | The row menu — see The row menu. |
There is no Health column and no Next column. Whether a season is behind schedule is still what the Health filter picks by — see Health — and its coming dates are in Next two weeks.
A wide table scrolls sideways inside its card, with the header row and the Festival column held still, as every table in FilmScorecard does.
Phase
Worked out from the season's dates and state each time the page loads, never stored. The first that fits:
| Phase | When |
|---|---|
| Releasing results | Judging was opened and its closing time has passed. |
| Judging | Judging was opened and its window is running now. |
| Before judging | The day after the season's Final submission deadline has come, and judging is not running. |
| Intake open | The season has at least one submission, or a FilmFreeway sync feeding it, and its Final submission deadline is today or later — or not set. |
| Setting up | Anything else. |
A season nobody has opened is never Judging or Releasing results, whatever its dates say. Dates are read on each season's own calendar.
Health
Health is what the Health filter picks by, and what "behind schedule" counts in the table's head and the header's sentence. A season is Behind schedule when one of three things is true; otherwise it is On track:
- Its phase is Releasing results and some of its films are not fully judged.
- Judging closes within seven days and at least one judge on the season has filed nothing.
- Judging's opening date has passed and nobody has pressed Open judging.
Progress
| Phase | Label | Measures |
|---|---|---|
| Setting up, Intake open, Before judging | Ready to open judging | How many of the three requirements are met — submissions imported, judging dates set, payouts connected. See The three requirements. |
| Judging | Fully judged | Films whose every category has all its approved scorecards, out of the season's films. |
| Releasing results | Scorecards released | Films released, out of the season's films — all of them once the season has released as a whole. |
Searching, filtering and sorting
- Search, "Search 10 festivals", keeps the rows whose festival name contains what you type, capitals or not.
- Phase ticks one or several phases, each with how many rows it would show. Select all and Clear both mean any phase.
- Health picks Any health, Behind schedule or On track, each with its count.
- The counts in Phase and Health follow your search, but not each other, so a count is always what choosing it would show.
- Clear filters, there while any of the three is set, clears all three. It leaves the Festivals control and the sort alone.
Every column but Festival sorts. Press a column's name once to sort by it, again to reverse:
| Column | First press |
|---|---|
| Phase | In workflow order, Setting up first |
| Progress | Least done first |
| Needs attention | Most first — the order the table opens in |
| Waiting | Most first |
Rows that tie are A to Z by festival name. An older link that sorted by Health or Next opens sorted by Needs attention instead.
The line under the table says what you are looking at: "Showing 8 of 10 festivals, judging, behind schedule, matching “riv”. Sorted by Needs attention, most first." It says "seasons" instead of "festivals" whenever a festival in view has two rows.
When nothing matches, the table reads No festivals match, a line naming the filters — "Active filters: judging, behind schedule." — and Clear filters.
The row menu
⋯ at the end of a row opens:
- Open dashboard
- Open Review Queue
- Open settings — only for somebody with Edit festival settings and team on that festival and a role that can change the season. Everybody else's menu does not have it.
- Show only this festival — narrows the whole page to it.
Nothing in it changes or deletes anything.
The view is kept in the address
Narrowing, searching, filtering and sorting happen at once, without reloading the page, and the address follows — for example:
/org/<organization>/overview?festivals=cedar-bluff,riverside-shorts&phase=judging&sort=progress
Reload, bookmark or send that address and it opens on the same view. The plain address is the default view: every festival, no search, any phase, any health, sorted by Needs attention. Two things are not kept: which Work waiting rows are open, and Show all on Next two weeks.
Changed counts and Mark all seen
The Overview remembers, for you, where every count stood when you last marked it seen, and shows what has moved since.
- Your first visit sets the starting point. It shows no dots and no changed-since line; the moment you opened the page becomes your first mark.
- From then on, when something has changed, the header's third line reads "9 counts changed since Wed, Aug 19, 10:05 AM." with an indigo dot and Mark all seen. When nothing has changed there is no third line, and no button.
- A count is one row of Work waiting for one season. It has changed when its number is different now — up or down, new or gone. A count that rose and fell back has not changed.
- Indigo dots mark each Work waiting row with a change in it and, once the row is open, each festival line that changed. Work that has since cleared away has no line left to carry a dot, but still counts in the header.
- Visiting never moves your mark. Only Mark all seen does, so the dots stay until you say you have seen them.
- The header counts the festivals in view, but Mark all seen marks everything: every festival and every count you can see in this organization, in view or not.
Marking it seen, and Undo
- Press Mark all seen. There is no confirmation. The button shows a spinner while it works and ignores a second press.
- The page refreshes: fresh figures, a new "Figures as of" time, no dots, and no changed-since line — it comes back when a count next moves.
- "Marked all seen." appears at the foot of the screen, with Undo and Dismiss. Focus moves to Undo when it appears, so it stays until you move away from it (or your pointer leaves it), then goes after about six seconds.
- Undo puts your previous mark back, dots and all, and says "Restored."
Undo goes back one step, from that message only. Once the message has gone, the earlier mark cannot be brought back.
If marking fails, the page says "Couldn't mark all seen. Try again." and nothing on it changes. If Undo fails, it says "Couldn't restore. Try again."
Your mark is your own. Colleagues each keep theirs, and each organization you work in keeps a separate one.
Who sees what
A row of work, a date or an update appears only for somebody who could open the screen it links to. The capabilities are the ones on Festival access:
| Who | What they see beyond everybody else |
|---|---|
| Everybody who can open the season | Categories without enough judges, Judges asking to leave, Entries without a category, Scorecards to approve and Films skipped for technical issues; the season's dates and your public page's own dates; imports and scorecard releases in Updates. |
| Manage judges and assignments | Judge invites about to expire, Judge requests to decide and Judge invites not answered yet; invite expiries and judge call closing dates; requests and invitation answers in Updates. |
| View revenue and payouts | Judge invoices to accept or pay, with its money line; invoice due dates; sent invoices in Updates. |
| Edit festival settings and team, with a role that can change the season | Release emails not sent, and Open settings in the row menu. While FilmFreeway sync is on for your organization, also both FilmFreeway rows and the FilmFreeway lines in Updates. |
| Approve scorecards and resolve flags, with a role that can change the season | Scorecards ready to release. |
| A role that can change the season — anyone but a Viewer | Judging hasn't opened. |
| Owners and org admins | All of it, on every festival, and Mailing address missing while your organization has none. |
What you cannot see is left out, not shown as zero — and left out of every figure built on it: the header, the Needs attention and Waiting columns, the Festivals control and the amber counts in the navigation. Two colleagues can read different numbers on the same organization, and both are right. And only the festivals you can open are on the page at all.
Times and time zones
Every date belongs to its season and is read on that season's own calendar, in its own time zone: an invitation that lapses at 11 PM in Los Angeles lapses on the 24th, even for a colleague in London whose clock already reads the 25th.
The page's own clock — "Figures as of", "today" on the strip, your seen mark's time — uses the time zone most of the seasons in view share. When the seasons in view are in more than one time zone, every time carries its zone: "9:40 AM PDT".
Things worth knowing
- Arriving from another screen, a grey outline of the page shows for a moment while it loads. Arriving from a link, a bookmark or a reload, the whole page appears at once.
- On a narrower screen — below 1240 pixels wide — everything stacks in one column: Work waiting, the Festivals table, Next two weeks, then Updates. Below 640, the fourteen-day strip is hidden and the list under it stays.
